How to Create a Productive Office Environment

by Stacy Zemon

Designing a comfortable office environment for your DJ service is about more than just aesthetics.

It will also play a big role in your business’s functionality. So, invest your time and money wisely to foster a workspace that’s both pleasing on the eye as well as logistically productive.

Flexibility

Conference rooms can do more than host meetings with prospects and clients. They can be used for spontaneous brainstorming, an employee who needs a quiet space to do research, or a place to view videos of a competitor’s v-Logs.

Over time, flexible office design also allows you to modify your space as your mobile entertainment company evolves.

Ergonomic Design

A large amount of research has been done about the impact of office chairs, desk height, keyboard trays and appropriate phone usage on employee comfort and health. Companies should take advantage of the research and give thought to furniture design and how it fits the needs of staff and their work habits.

Technology

It goes without saying that the office should be wired to support Wi-Fi. Also make sure that your office technology supports staff who work from home – either occasionally or regularly. Making it possible to access files anytime and anywhere, as well as using Skype, video conferencing and other collaborative meeting technologies, is part of the flexible office design process.

Heating

Temperature is the most common office complaint among workers. When considering office space, a key question should be how the HVAC (heating, ventilation, air conditioning) system works. Is the temperature controlled by the landlord or the tenant? Are there temperature zones within an office? Do individual staff control the temperature of their office? What do other tenants say about the temperature at different times of the year? If you don’t like the answers you get to those questions, you may want to consider different office space.

Lighting

If possible, everyone on your staff should work in space with at least some natural light; at a minimum, create common or public spaces that have access to natural light.

Fluorescent lighting is no longer the only choice for overhead lighting. Research and employ new modern lighting options. Specialize lighting according to tasks; this small bit of personalization can make working easier on the eyes.

Style Supports Function

Your office space should reflect your DJ company’s “personality.” Wall colors, art, amenities as well as a comfortable and stylish client waiting area can all enhance your brand as well as your productivity.

After all, most of us spend more time at work than nearly any place else these days – it should be a comfortable and inspiring environment.

Now that we’ve looked at the important aspects of creating a productive work space, here are 10 tips to help you organize it:

  1. Clean out each desk drawer to free up valuable storage space.
  2. Clear off the top of your desk except for items like a phone, lamp and computer.
  3. Create a filing system that is simple, manageable, and color-coded.
  4. Pre-sort the mail: To-File, To-Read, To-Contact (write or call) with “by when” dates.
  5. Use a variety of desktop organizers or trays to organize papers that come across your desk.
  6. At the end of each event, organize paperwork and file or store it.
  7. Store dated files in storage spaces.
  8. Purchase boxes to store magazines and catalogs you want to keep.
  9. Create a file for magazine articles or scan them into your computer.
  10. Straighten your desk at the end of the day and at the end of the week.

An office environment that is designed towards productivity sets the stage for greater performance from you and your staff so, get organized and start unleashing your full potential!
